Admin walkthrough

Sarah manages BrightWorks' Downtown site. She wants Noah and the Design Agency team to open their office and the lobby on weekdays from 9 a.m. to 6 p.m.

1. Select the site

Sign in to the web dashboard. Use the organization/site switcher to open Downtown. Check that the site name is correct before making changes.

If the site does not exist, an Org Owner can create it from Sites. Choose Seamless Dashboard for a site whose members and access will be managed here. Set the site's time zone and add its devices.

2. Add the people

Open Members and use the invite action. Search for an existing organization member or enter a new email address. Choose Member for someone who only needs door access, then confirm the invitation or addition.

Noah follows the email instructions to finish account setup and signs in to the mobile app. Adding him to the organization does not by itself configure the office's doors and schedule.

For a larger team, an Org Owner can use Directory → Invite People → Bulk import users to validate and import up to 25 people at a time. Site membership and access are assigned afterwards. See Invite and add people.

3. Create a user group

Open Members → User Groups, create Design Agency, and add Noah and his teammates. Use this group to maintain the team's membership.

4. Create and share an access grant

  1. Open Access Grants and create a grant named Design Agency office hours.
  2. Add the office and lobby doors.
  3. Set Monday through Friday, 9 a.m. to 6 p.m., and save the schedule.
  4. Share the grant with Design Agency, then select Done to apply the sharing change.

Review all three parts: doors, schedule, and shared user groups. An unshared grant does not give this team access.

5. Check credentials and test

Noah opens the mobile app, selects Downtown, and lets his access refresh. At an allowed time, he stands near the office door and follows the unlock prompt.

For a physical card or fob, assign a supported credential from Noah's profile. Wallet access also requires the site's provider and the user's wallet eligibility to be configured. Creating a grant does not automatically issue every credential type.

If the door does not open, check the selected site, group membership, grant sharing, schedule, credential, and lock status. Avoid broadening the grant until you know which part is missing.

6. Review activity and maintain access

Open the device's access logs to inspect the attempt. Check the displayed time zone, event, user, and credential. Export the filtered logs to CSV if needed.

When a teammate leaves, review their other grants and site memberships before removing access. For organization-wide deactivation, use the Org Owner's Directory controls.
